Full Job Description:

  • The Windfall is partnering with a Private Multi-Family Office located in Darien, CT, which is seeking to hire an Entrepreneurial-minded Chief of Staff/Operations to support and grow the firm.
  • The company is rapidly growing, and the C-Suite needs a highly skilled and hungry candidate to manage the office, support their HNW clients, and analysts, implement HR, be heavily involved in S&O, project management, and much more.

  • The successful candidate will be highly organized, proficient in Excel, have extreme attention to detail, capable of learning new technologies quickly, be extremely discreet, and confidential, and will be excited about joining a growing company at the right time!
  • This is a hybrid role working in the office 2-4 days/week and WFH 1-3 days/week, daily hours are 8:30/9:00 am-5:00 pm and overtime is required based on the needs of the day.


  • Meeting Preparation: Prepare Executive for meetings; draft documents; collaborate with others to ensure correct attendees are included, clarifying objectives, agendas, outcomes, and follow ups
  • Travel: Coordinate travel, track relationship touch points, international and domestic travel arrangements both commercial and private, detailed itineraries, hotel, transportation and restaurant reservations
  • Contact Management System: Actively configure and update the firm’s CRM
  • Event Management: Collaborate with team members on event planning and execution
  • Organization-including maintaining group schedules, coordinate calls and events, help track finance deliverables and keep track of key dates on calendar, materials for board meetings, items for audits, tax filings, etc.
  • Presentations and Reports: maintain library of reports and analysis and take requests for data
  • Work expertly in Google Suite & Excel Spreadsheets, creating charts and graphics to input in reports and analyses.
  • Office Management: run the day to day of the office, meet and greet guests, conference room coordination, set-up and break down for meetings, liaise with building management, order and stock supplies, organize company files
  • Heavy travel and expense coordination
  • S&O: Special Projects: Conduct research, develop policies, implement systems and procedures, and support cross-department collaboration
  • Personal work as needed for Executive and firm
  • HR: legal templates for new hires, on-boarding new hires, implement training guide, and liaise with vendors for recruiting needs
  • Benefits: set up new employee health insurance, manage life changes in benefits, etc.
  • Calendar and Time Management: Examine Executive’s and team’s priorities regularly and strategically manage their calendars
  • Ad hoc projects as needed


  • Bachelor’s degree from an accredited institution
  • Excellent oral and written communication skills
  • Extremely strong organizational skills
  • Proficiency in G-Suite & MS Suite
  • 8+ years experience in an administrative role, preferably in financial services or a similar corporate environment
  • Strong work ethic
  • Impeccable attention to detail
  • Proactive, Reliable, Resourceful
  • Ability to prioritize multiple tasks

Pay: $150-200K Base Salary
