About the Role:
- An exclusive opportunity has arisen within our esteemed Single-Family Office.
- We are seeking a dedicated and professional Family Office Administrator to join our dynamic team.
- This pivotal role involves providing comprehensive administrative and financial support to the Director and key internal stakeholders, ensuring the smooth operation of our family office.
- Fluency in Spanish is highly desirable, as it will greatly benefit communications within our diverse and international team.
- Coordinate annual government filings, working closely with international service providers.
- Facilitate the preparation and organization of semi-annual meetings for director elections and other critical business matters.
- Schedule and manage additional interim director meetings as required.
- Accurately document financial decisions and other significant resolutions made by the directors.
- Record all trust fund movements from underlying companies to the trusts, ensuring compliance and transparency.
- Draft resolutions and assemble necessary documentation for establishing bank accounts, engaging with investment managers, and other financial activities.
- Maintain and update the company’s minutes book and other essential corporate records.
- Liaise with foreign registered offices, ensuring effective communication and record-keeping.
- Input historical data and documents into designated software programs for each company.
- Prepare and oversee all bank instructions, ensuring accuracy and compliance.
- Develop and maintain a robust document storage and retrieval system, including a comprehensive book of documents.
Qualifications and Skills:
- A STEP/Chartered Secretary qualification or equivalent is preferred.
- Relevant experience in corporate administration or a similar role.
- Strong organizational skills with an attention to detail.
- Excellent communication and interpersonal skills.
- Ability to handle confidential information with discretion.
- A proactive approach to problem-solving and decision-making.
- Remuneration will be commensurate with the duties and demands of the role and the experience of the candidate.
Pay: $150,000.00 – $250,000.00 per year
