About the Role:

  • An exclusive opportunity has arisen within our esteemed Single-Family Office.
  • We are seeking a dedicated and professional Family Office Administrator to join our dynamic team.
  • This pivotal role involves providing comprehensive administrative and financial support to the Director and key internal stakeholders, ensuring the smooth operation of our family office.
  • Fluency in Spanish is highly desirable, as it will greatly benefit communications within our diverse and international team.

Key Responsibilities:

Corporate Administration:

  • Coordinate annual government filings, working closely with international service providers.
  • Facilitate the preparation and organization of semi-annual meetings for director elections and other critical business matters.
  • Schedule and manage additional interim director meetings as required.
  • Accurately document financial decisions and other significant resolutions made by the directors.
  • Record all trust fund movements from underlying companies to the trusts, ensuring compliance and transparency.
  • Draft resolutions and assemble necessary documentation for establishing bank accounts, engaging with investment managers, and other financial activities.
  • Maintain and update the company’s minutes book and other essential corporate records.
  • Liaise with foreign registered offices, ensuring effective communication and record-keeping.
  • Input historical data and documents into designated software programs for each company.
  • Prepare and oversee all bank instructions, ensuring accuracy and compliance.
  • Develop and maintain a robust document storage and retrieval system, including a comprehensive book of documents.

Qualifications and Skills:

  • A STEP/Chartered Secretary qualification or equivalent is preferred.
  • Relevant experience in corporate administration or a similar role.
  • Strong organizational skills with an attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to handle confidential information with discretion.
  • A proactive approach to problem-solving and decision-making.
  • Remuneration will be commensurate with the duties and demands of the role and the experience of the candidate.

Pay: $150,000.00 – $250,000.00 per year
