About the Job:

  • We are seeking a highly organized and detail-oriented Director of Operations to support a small family office in the San Francisco Bay Area, specifically in Hillsborough.
  • The role is not a lifestyle position but rather a role that is more focused on providing operational and project management support to the family office.
  • The ideal candidate will embody an “accountant mindset” and be comfortable with a more formal, business-oriented environment.
  • You will work collaboratively with the principal and act as the owner’s rep.
  • Candidates must be local to the Bay area and able to travel locally when needed.

Responsibilities:

  • Provide comprehensive personal support to the couple, ensuring she remains organized, on track, and in control of various family office functions.
  • Maintain detailed project management for ongoing tasks and initiatives within the family office specifically related to their 3 properties which are all at the tail end of renovations.
  • Utilize QuickBooks skills for light accounting duties, the majority of the accounting is outsourced.
  • Assist with travel arrangements, including coordinating charter companies and private aviation for both business and personal travel.
  • Liaise with property managers to ensure they are well supported in pushing the projects along and report any updates to the principal.
  • Maintain flexibility to accommodate the principals’ hybrid work arrangements and travel schedules.

Qualifications:

  • Previous experience in a similar role supporting high-level executives, preferably in a family office or similar environment.
  • Strong project management skills with attention to detail and ability to multitask effectively.
  • Basic accounting skills or a willingness to learn, with experience using QuickBooks preferred.
  • Comfortable making travel arrangements, including charter companies and private aviation.
  • Ability to maintain flexibility and adapt to changing priorities and schedules.
  • Professional demeanor with excellent communication and interpersonal skills.
