Full Job Description
- Balentine is seeking a skilled and experienced Family Office Operations Manager to oversee the comprehensive management of our multi-family office (MFO) practice.
- As the Family Office Operations Manager, you will be responsible for coordinating and executing a wide range of financial, administrative, and operational activities to support the needs of each client and their family.
- This person will be an integral member of the Multi-Family Office team, which is led by the President of Balentine, comprised of seven other individuals, and currently supports the largest and most complex clients of the firm representing over $7MM of revenue per year.
- The successful candidate must be technologically savvy, proactive, efficient, and always display a high level of professionalism and confidentiality.
Responsibilities:
- The ideal candidate will understand that a great attitude and efficiency in technology and task management will be key drivers for success.
- We expect this person to, with training, perform the following responsibilities:
- Operations and Technology:
- Manage open and in-progress tasks for the MFO team to ensure timely completion
- Coordinate data clean-up efforts for the team within Salesforce, Box, and other systems as needed
- Oversee data management and entry within Salesforce and Addepar on behalf of MFO clients
- Participate in firmwide technology and operations initiatives on behalf of the team
- Administrative Support:
- Act as a central point of contact for the Multi-Family Office team and external service providers
- Oversee the team’s calendar and coordinate resources needed to conduct client meetings
- Organize and facilitate family meetings, including preparation of meeting materials and follow-up on action items
- Maintain files and documentation of family relationships, family history, organizational structures, tax/legal matters, and family governance documents
- Prepare Gantt charts and monitor progress for the execution of longer-term projects
- Financial Management:
- Assist with the development and implementation of financial strategies, budgets, and investment plans in collaboration with the family members and financial advisors
- Coordinate, as needed, with external professionals, such as accountants, tax advisors, and investment managers, to ensure compliance and optimal financial outcomes
- Act as a peer reviewer for monthly bookkeeping and transaction summary reports prepared by outside providers
- Estate and Wealth Planning:
- Support the collaboration with legal advisors to maintain comprehensive estate and wealth planning strategies
- Contribute to the establishment and administration of trusts, estates, DAFs/foundations, and other wealth management structures
- Act as a peer reviewer for the management of family-owned assets, including real estate, art collections, and other valuable possessions
Qualifications:
- 3-5 years of experience working in a family office, private wealth management, or a similar role within a high-net-worth environment
- Bachelor’s degree in finance, business administration, or a related field
- Advanced degrees and certifications a plus
- Willingness to achieve Certified Financial Planner™ or similar designation
- Proficiency with Addepar, Box, DocuSign, eMoney, and Quickbooks is strongly preferred; experience with similar program types is required
- Experience with Salesforce is required
- Strong financial acumen with a deep understanding of investment strategies, tax planning, and wealth preservation
Pay: $52.1K – $66K a year
