Job Summary:
- The Family Office Accounting Specialist will be responsible for recording and maintaining the family’s daily financial transactions, monitoring cash flow, and producing reports to assist managers in making strategic decisions.
- This is a safety-sensitive position.
Responsibilities Include:
- Accounting
- Managing the day-to-day bookkeeping tasks within the accounting software such as accounts payable and receivable, cutting checks, and sending out invoices.
- Establishing different accounts, as needed.
- Creating new companies’ chart of accounts in accounting software for newly created entities.
- Ability to perform balance sheet reconciliations such as monthly bank reconciliations, intercompany transactions, and note payables to financial institutions.
- Record keeping
- Maintaining records for multiple entities and ensuring documentation is accurate.
- Works with team to maintain daily cash schedules and summaries for management review.
- Preparing the annual 1099 filings for all required entities under the supervision of a manager.
- Advises management on compliance needs and deadlines.
- Administrative
- Responding to the owner/manager requests, managing vendor relationships, and providing support to the family.
- Ensures the accuracy and completion of the monthly transaction deadlines.
- Assists with daily mail functions and tax return filings.
- Occasional errands for family and accounting department (bank deposits, revenue office, etc).
What You Will Need:
- Bachelor’s degree in accounting (optional)
- 3 + years experience working in a similar function
- Understands the privacy and sensitivity of the financial and personal information related to the family and diligently ensures the safeguarding of that information.
- Demonstrates a high level of autonomy, initiative, and independence.
- Excellent organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with strong attention to detail.
- Strong professional judgment, team player, and reliable
- Proficiency in Windows, including MS Word, Excel, and Outlook along with financial accounting packages such as Sage or QuickBooks.
- Excellent writing and proofreading skills.
What Will Set You Apart:
- Experience with family office accounting a plus.
