A/P Associate – Family Office

We are seeking a detail-oriented, proactive A/P Associate to join our Family Office team. This is an exciting opportunity for a motivated individual to work in a fast-paced environment focused on delivering an exceptional client experience while developing strong technical and interpersonal skills.

The Opportunity

The A/P Associate will play a critical role in supporting the day-to-day financial operations of high-net-worth clients. Responsibilities include managing invoices, vendor relationships, household account activity, and medical insurance submissions, as well as processing payments and expense reporting. The ideal candidate thrives in a collaborative team environment, maintains the highest standards of confidentiality and professionalism, and has a service-first mindset. This position offers exposure to family office services and financial best practices within a leading advisory firm.

Key Responsibilities

Accounts Payable Operations

  • Efficiently manage and process a high volume of invoices, ensuring accurate allocation to appropriate accounts and cost centers.

  • Accurately record all transactions in QuickBooks and maintain audit-ready records.

  • Reconcile vendor statements and maintain positive vendor relationships through timely issue resolution and consistent communication.

Client & Household Financial Support

  • Administer household expense accounts for clients, including monitoring balances, posting entries, processing reimbursements, and managing supporting documentation.

  • Prepare weekly invoice approval workflows in collaboration with team leadership, ensuring compliance with internal controls and client-specific policies.

Client Service & Communication

  • Act as a primary liaison for accounts payable inquiries from high-net-worth clients.

  • Proactively gather and analyze data to provide accurate, timely responses to internal and external stakeholders.

  • Coordinate across departments to follow up on client requests and streamline operations using internal systems and technology tools.

Compliance & Documentation

  • Maintain and organize historical financial records using scanning, indexing, and document management systems.

  • Facilitate medical insurance claim submissions and follow-ups in collaboration with client service teams.

  • Manage collection of vendor documentation, such as W-9s, and handle incoming correspondence related to accounts payable.

Confidentiality & Data Security

  • Uphold strict confidentiality and data protection standards in all client-related work.

  • Ensure adherence to firm-wide security and privacy protocols.

The Ideal Candidate

Qualifications & Experience

  • High School Diploma or GED required; post-secondary coursework preferred.

  • Minimum of 1 year of relevant experience in accounts payable, accounting, or financial administration.

  • Prior experience with QuickBooks and Bill.com is preferred.

Skills & Attributes

  • Proficient in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint, SharePoint).

  • Highly organized with strong attention to detail and an ability to manage multiple deadlines and priorities.

  • Strong communication skills and the ability to work collaboratively across teams and with external stakeholders.

  • Demonstrates sound judgment, professionalism, and discretion when handling confidential information.

Compensation
