Family Office Analyst

The Opportunity
The Family Office Analyst will play a key role in supporting the financial and administrative needs of ultra-high-net-worth families. Working within a small, dedicated team, the Analyst will assist in the preparation of financial reports, cash flow analyses, tax data coordination, and investment-related administration. The role requires a detail-oriented, resourceful, and intellectually curious professional eager to contribute to a dynamic family office environment while developing deep expertise across wealth management disciplines.

The Position

Key Responsibilities

  • Financial Reporting & Planning
    • Prepare monthly and quarterly financial statements using Addepar reporting software.
    • Develop liquidity and cash flow analyses to support client financial planning.
    • Create and maintain detailed expense reports and monthly expenditure summaries.
    • Collect and organize financial account statements; reconcile data across accounts.
    • Coordinate wire transfers, ACH transactions, and client bill payment services.
    • Research financing options, including construction loans, mortgages, and lines of credit.
  • Administrative Services
    • Collaborate with external Registered Investment Advisors (RIAs) and facilitate client meetings.
    • Assist in new account setup, documentation, and compliance requirements.
    • Audit client bank transactions and verify accuracy of payments and distributions.
  • Estate & Wealth Transfer Support
    • Coordinate the preparation, signing, and storage of trust and estate documents.
    • Design family organization charts and assist with family entity structuring.
    • Administer intra-family and trust loans, including drafting promissory notes and tracking repayment schedules.
    • Assist in education funding analyses and 529 plan coordination.
  • Tax Advisory & Compliance Support
    • Gather, organize, and maintain tax documentation in secure electronic files.
    • Proactively acquire missing information for tax filings and reporting.
    • Review quarterly estimated tax and extension payments; coordinate payments with advisors.
    • Support tax season processes in collaboration with CPAs and legal advisors.
  • Client & Vendor Coordination
    • Maintain correspondence with accountants, bankers, custodians, and law firms.
    • Ensure timely communication and follow-up on client-related inquiries and projects.

The Ideal Candidate

Qualifications:

  • Bachelor’s degree required; concentration in Accounting, Finance, Business Administration, or Economics preferred.
  • 1–3 years of experience in financial analysis, accounting, or family office administration preferred.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint); experience with Addepar or similar financial reporting systems a plus.
  • Strong analytical, critical thinking, and problem-solving skills.
  • Exceptional organizational skills and ability to manage multiple priorities.
  • Excellent written and verbal communication skills, with the ability to explain complex matters clearly.
  • High level of professionalism, integrity, and discretion when handling confidential information.
  • Team-oriented mindset with a proactive, service-driven attitude.

Compensation:
Competitive base salary commensurate with experience ($50,000 – $65,000 annually), plus a comprehensive benefits package including health, dental, vision, life insurance, 401(k) with matching, paid time off, tuition reimbursement, and professional development support. This is a full-time, in-person position with hybrid flexibility.
