Client Service Associate (Remote)

The Client
Capitol Family Office is a fully remote boutique financial advisory firm serving successful business owners, executives, and professionals. The firm combines deep expertise with high-touch service, leveraging smart technology and fast execution to ensure clients are well cared for and processes run seamlessly.

The Client Service Associate will work closely with both firm partners—especially the Managing Partner—as a trusted right hand. This role is pivotal in ensuring a smooth client experience by overseeing execution, administration, operations, and proactive client service.

The Opportunity
This position offers an exciting opportunity for an experienced and proactive client service professional from the financial advisory, RIA, or wealth management space. The successful candidate will thrive in a fast-paced, detail-oriented environment, managing client workflows from initiation to completion while providing exceptional support to senior leadership.

You will coordinate directly with clients, custodians, and internal partners to ensure that forms are accurate, accounts are opened efficiently, follow-ups are completed on time, and all client needs are addressed with precision. This is a role for someone who enjoys owning their work, taking initiative, and making sure nothing falls through the cracks.

Key Responsibilities

Client Service & Workflow Coordination

  • Coordinate and take action on client service requests with accuracy and timeliness.

  • Process account openings, transfers, and custodial forms with attention to detail.

  • Manage client scheduling, reminders, and meeting logistics.

  • Track and execute follow-ups to ensure all tasks are completed as promised.

  • Communicate directly with clients to gather information, complete requests, and ensure satisfaction.

Administrative & Technology Execution

  • Maintain organized digital files and CRM records (Redtail, ShareFile, etc.).

  • Manage e-signature workflows, document tracking, and custodial follow-ups.

  • Utilize tools such as Calendly, Emoney, and Zoom daily.

  • Leverage AI tools to draft emails, organize data, and streamline workflows.

Executive & Partner Support

  • Manage partner calendars, follow-up tasks, and internal checklists.

  • Communicate key updates and task statuses clearly to partners.

  • Proactively identify needs, anticipate challenges, and act without repeated prompting.

  • Support special projects and initiatives as needed.

The Ideal Candidate

Qualifications

  • Minimum 3+ years of experience in a financial advisory, RIA, or wealth management firm.

  • Deep familiarity with industry processes, custodians, and documentation requirements.

  • Strong organizational skills with the ability to manage a high volume of tasks without errors.

  • Exceptional attention to detail, reliability, and follow-through.

  • Clear and consistent communicator, both internally and with clients.

  • Technologically adept, with experience in CRM systems, scheduling tools, and virtual meeting platforms.

  • Ability to work independently while remaining highly collaborative.

  • Interest or experience with paraplanner tasks a plus.

Compensation

  • Hourly rate: $30 – $45/hour depending on experience.

  • Contractor role; fully remote.

  • 20–40 hours per week with flexibility and potential for growth.

  • Must be available Monday–Friday during Pacific Standard Time business hours.
