Bookkeeper
The Opportunity
The Bookkeeper will play a key role in ensuring the accurate and timely management of personal, household, and entity-level financial operations for a growing family office. This position is responsible for maintaining accounts payable, coordinating with vendors, reconciling bank accounts, and producing accurate reporting to support financial oversight and decision-making. The ideal candidate is highly organized, detail-oriented, and discreet, with experience handling confidential financial information in a private or family office environment.

The Position
Key Responsibilities
- Bill Payment & Expense Management: Receive, review, and process all invoices related to personal, household, and entity expenses; ensure timely payment of utilities, mortgages, insurance, payroll, property management, and other recurring obligations; manage ad hoc payments such as travel, medical expenses, and charitable contributions.
- Accounts Reconciliation: Reconcile checking, savings, and credit card accounts on a monthly basis; track outstanding payments, investigate and resolve discrepancies; monitor cash balances to ensure sufficient liquidity for upcoming obligations.
- Vendor Management: Maintain an updated vendor database, ensuring accurate contact and payment details; act as primary liaison for billing questions and confirmations; review statements for accuracy and address any discrepancies or billing errors.
- Financial Reporting: Prepare weekly and monthly expense summaries for leadership review; categorize and analyze expenditures to support budgeting and planning; generate year-end reports to assist tax advisors and CPAs with filings.
- Recordkeeping & Compliance: Maintain well-organized digital and physical files for invoices, receipts, and statements; ensure compliance with internal controls and accounting standards.
- Confidentiality & Discretion: Uphold the highest standards of integrity and confidentiality in handling all personal and financial data of family members and entities.
The Ideal Candidate
Qualifications:
- 3–5 years of bookkeeping or accounts payable experience, preferably within a family office, private household, or professional services firm.
- Proficiency in accounting and bill pay platforms such as QuickBooks, NetSuite, or Bill.com.
- Strong Excel and reporting capabilities, with attention to accuracy and detail.
- Excellent organizational, time management, and communication skills.
- Demonstrated ability to manage multiple accounts and priorities with discretion and professionalism.
