We are seeking a highly organized and experienced Principal Administrator to join the Lubbers Office team. This pivotal role involves managing the day-to-day administrative and operational functions of the family office, supporting the family’s personal, financial, and philanthropic affairs with the utmost discretion and professionalism.

Key Responsibilities:

  • Oversee and coordinate all administrative activities including scheduling, correspondence, document management, and vendor relations.
  • Manage financial administration tasks such as budgeting, expense tracking, invoice processing, and financial reporting in collaboration with accounting teams.
  • Coordinate family meetings, events, travel arrangements, and property management activities.
  • Serve as the primary liaison between family members, advisors, legal counsel, and service providers.
  • Maintain confidentiality and handle sensitive information with integrity and discretion.
  • Implement and maintain office policies, procedures, and systems to ensure operational efficiency and compliance.
  • Support estate planning, trust administration, and philanthropic initiatives by working closely with external advisors.
  • Supervise and mentor junior administrative staff, fostering a collaborative and high-performance environment.
  • Identify opportunities for process improvements and cost control.
  • Prepare reports, meeting agendas, and documentation for family governance and investment committees.

Qualifications:

  • Minimum 5 years of experience in family office administration, wealth management, or a related high-net-worth environment.
  • Strong financial literacy with experience in budgeting, expense management, and vendor oversight.
  • Exceptional organizational and communication skills.
  • Proven ability to manage multiple priorities and complex schedules.
  • High level of discretion, professionalism, and integrity.
  • Proficiency with office management software and willingness to adapt to family office technology platforms.
  • Ability to work independently and as part of a close-knit team.
